1Booking & Payment

All payments must be made before the specified dates.

All courses are subject to availability. Your place cannot be guaranteed until full payment has been received.

We reserve the right to decline any application.

2When Your Course Begins

Your course is deemed to have started on the earliest of the following: receipt of your booking confirmation and course materials (by e-learning or email), or the moment you first access the online learning material.

3Course Validity & Expiry

Single courses: Where you book an individual course, it must be completed within 12 months of enrolment.

Course packages: Where you book a package of two or more courses together, the package must be completed within 24 months of enrolment. This extended period applies to the package as a whole; individual courses within the package are not subject to the 12-month single-course limit, but all courses in the package must be completed before the 24-month package expiry date.

For the purposes of this clause, enrolment is the date on which payment is received or the date you are granted access to the online learning material, whichever is earlier.

Completion means fulfilling all required elements of each course, including the online (e-learning) theory, the practical training day, and any assessment required for certification.

It is your responsibility to complete and submit your e-learning theory, attend the practical training day made available to you, and complete any required assessment within the applicable period. Please note that the practical training day cannot be booked until your theory work has been submitted, so we recommend you complete your e-learning promptly to allow sufficient time to attend your practical within the validity period.

If a course or package is not completed within the applicable period, access — including the online learning material, course materials, and any unused practical or assessment bookings — will end automatically. No refund of fees or deposits will be made in respect of any course, package, or part thereof that has expired, and there is no entitlement to a later course date.

A paid extension may be available on request, provided the request is made in writing before the expiry date. Extensions are granted at our discretion and are subject to an extension fee. Access cannot be reinstated once a course or package has expired.

4Cancellations & Refunds

Deposits are non-refundable.

If you cancel your enrolment after 14 days, no monies will be refunded.

Course fees, deposits, and other payments are non-transferable.

If you fail to attend your confirmed course, or fail to complete the course for any reason, no refund of fees or deposits will be made, and there is no entitlement to a later course date. This applies equally where a delegate does not attend on the day.

5Pre-Course E-Learning

It is your responsibility to complete the e-learning before attending your practical course. The pre-course reading forms part of our assessment criteria and must be completed in full.

Failure to complete all pre-course reading at least 3 days before the course may result in you being unable to attend, with the loss of the total amount paid.

If you encounter any issue with your online learning material, you must notify us immediately.

6Changes & Cancellations by Us

We reserve the right to change, reschedule, or cancel course dates.

It may be necessary for us to reschedule a practical session due to unforeseen circumstances, including tutor illness. Where this happens, we will offer you the nearest available alternative date(s).

Where no suitable alternative date is available at your original training location, we will offer you a place on the same course at another of our training locations and will contribute towards your reasonable travel costs to attend the alternative venue. The rescheduling of a practical session, or attendance at an alternative location, does not entitle you to a refund of any part of your course fees or deposit.

7Certification

Paying for and/or attending a course does not in itself guarantee a qualification, diploma, or certificate of achievement. Awards are gained only by successfully fulfilling the criteria set by the awarding body. The decision of the Education Director is final.

All student certification is subject to verification and approval by VTCT.

No certificate will be issued until full payment has been received.

On successful completion, you will be required to obtain your own indemnity insurance against malpractice. Details of suitable insurance providers will be provided.

8Course Materials & Copyright

All course materials, presentation slides, and manuals are protected by copyright and must not be reproduced, re-used, distributed, or sold without our prior written permission.

Due to the risk of copyright infringement, the use of recording equipment is not permitted.

You are responsible for all material distributed to you.

9Replacement Fees

The following fees apply for replacements:

• Replacement certificate: £30 + VAT
• Re-registration to the e-learning platform (lost link): £10 + VAT
• Replacement manual: £35 + VAT
• Replacement of any supporting document: £15 + VAT
• Replacement of general course material: £10 admin fee

10Models

Where a course requires a model for practical work, Skin Philosophy Training will arrange and provide a suitable model. If your participation requires a model to be supplied, you will be informed with considerable notice before the course date.

11Suitability

It is your responsibility, having referred to the relevant course information, to ensure that the course is suitable for your requirements. We are pleased to provide advice but accept no liability where the course content does not meet individual expectations.

12Health, Safety & Conduct

All delegates must observe and abide by all health and safety policies and any other regulations set out by Skin Philosophy Training.

We are committed to providing a safe, professional, and respectful learning environment. We reserve the right to refuse entry to, or remove from a course, any delegate whose conduct is disruptive, abusive, unsafe, or who attends under the influence of alcohol or non-prescribed drugs. Where a delegate is removed for such reasons, no refund of fees or deposits will be made.

13Photography & Media

We may take photographs or video during training days for assessment, quality assurance, and marketing purposes, including use on our website and social media.

By attending, you consent to such images being taken and used. If you do not wish to appear in images used for marketing, you must notify us in writing before the course date, and we will make reasonable efforts to accommodate your request. This does not affect images required for assessment or certification purposes.

14Data Protection

We process personal data in accordance with applicable data protection law, including the UK GDPR and the Data Protection Act 2018. We collect and hold student information for the purposes of course administration, awarding-body registration and certification, communication, and our legitimate business interests.

15Complaints

We are committed to maintaining high standards across all our courses. If you wish to raise a concern or make a complaint, this should be submitted in accordance with our Complaints Procedure, details of which are available on request or via our website.

16Governing Law

These Terms & Conditions, and any dispute or claim arising out of or in connection with them, are governed by and construed in accordance with the law of England and Wales, and the parties submit to the exclusive jurisdiction of the courts of England and Wales.
